Acceptable Use Policy

This document describes acceptable use of the TraceRoster Service in plain language. It must be reviewed and approved by qualified legal counsel before being relied upon, and it does not constitute legal advice.
This Acceptable Use Policy applies to everyone who uses the TraceRoster Service, including candidates, recruiters, clients, and visitors. By using the Service, you agree to follow these rules. They exist to keep TraceRoster safe, lawful, and useful for everyone, and they supplement our Terms & Conditions. If you do not agree with this policy, do not use the Service.
1. Prohibited activities
You may not use the Service to engage in, encourage, or facilitate any of the following:
- Unlawful, fraudulent, discriminatory, or harassing use of the Service or any of its features.
- Violating applicable employment, anti-discrimination, or data-protection laws.
- Misrepresenting your identity, credentials, qualifications, or employment history.
- Uploading or sharing content you do not have the right to share, or content that infringes any intellectual property or other rights.
- Uploading or transmitting malware, viruses, or other harmful code.
- Unauthorized scraping, harvesting, or automated extraction of data from the Service.
- Circumventing access controls, rate limits, billing, or security measures.
- Attempting to gain unauthorized access to accounts, systems, or data.
- Reverse engineering any part of the Service, except to the extent that such restriction is prohibited by applicable law.
- Spamming or sending unsolicited bulk messages.
- Interfering with, disrupting, or placing an undue burden on the Service or its infrastructure.
2. Recruiter and client responsibilities
If you use the Service to search for, evaluate, or contact candidates, you have additional responsibilities:
- Use candidate data only for legitimate recruiting purposes.
- Comply with all applicable employment and anti-discrimination laws when searching for, evaluating, or contacting candidates.
- Do not use candidate data for unlawful background screening or for purposes unrelated to recruiting.
- Respect each candidate's visibility and discoverability choices, and do not attempt to access candidates who have opted out.
3. Responsible use of AI features
The Service uses AI to generate summaries, rankings, and other outputs that help you find and evaluate candidates. These outputs may be incomplete or inaccurate. You are responsible for using them responsibly:
- Apply human review to AI-generated summaries, rankings, and recommendations before acting on them.
- Do not rely on AI outputs as the sole basis for a decision where human review is legally required.
- Verify important information independently rather than treating AI output as authoritative.
4. Reporting violations
If you become aware of any content or conduct that violates this policy, please report it to us at support@traceroster.com. We review reports and take action where appropriate. Please include enough detail for us to investigate.
5. Enforcement and consequences
We may take action against accounts that violate this policy. Depending on the severity and circumstances of the violation, this may include a warning, temporary suspension, or permanent termination of access to the Service. 6. Changes to this policy
We may update this Acceptable Use Policy from time to time. If we make material changes, we will provide notice through the Service or by other appropriate means and update the "Last updated" date above. Your continued use of the Service after an update becomes effective constitutes acceptance of the revised policy.
